Capture Reps and the Answers Rep

The three Capture modes — brief, contact and booking — plus the FAQ-driven Answers Rep, and where submissions land.

    ·3 min read

Capture Reps and the Answers Rep share the same site, branding, personas and Leads pipeline as your Ask Reps.

    • Capture Rep — drafted brief — chip selectors plus an auto-composed, editable message, then an email capture.
    • Capture Rep — contact details — custom fields (text, email, phone, dropdown, checkbox, textarea) straight into your Leads inbox.
    • Capture Rep — meeting request — a lightweight "request a meeting" form with preferred dates and time-of-day.
    • Answers Rep — an accordion of published Q&A entries that can auto-suggest new questions from real visitor searches.

All of them live under the Reps tab on a site.

    Adding one

    1. Open a site and click the Reps tab.
    2. Click New Rep, choose Capture Rep or Answers Rep, then pick the mode or placement.
    3. Configure entries / fields / availability text.
    4. Toggle Enabled and copy the embed snippet into the site.

Reps validate the embed origin against the site's Allowed domains list — the same security model used by every other Rep.

The "Suggest from searches" workflow (Answers Rep)

The Answers Rep can read your site's real visitor searches and propose new entries from the questions people are actually typing.

    1. Open the Answers Rep editor.
    2. Click Suggest from searches.
    3. We cluster recent visitor queries by semantic similarity, pick the highest-quality answer per cluster, and return proposed Q&A entries.
    4. Review each suggestion: edit the question, refine the answer, optionally link to an indexed page, and Publish.

    This means:

    • The Ask Rep continues to handle long-tail and novel questions.
    • The Answers Rep surfaces the most-asked questions with zero latency and zero AI credit cost per view.
    • Your knowledge base evolves from visitor behaviour.

Each suggestion run consumes one AI FAQ suggestion from your monthly allowance.

    Contact mode

    • Add fields with labels, placeholders, validation, and required/optional flags.
    • Optional persona-aware variants — show a different form on different page patterns.
    • Submissions appear in Leads with source = "form" and the full field payload, and trigger your existing notifications and Zapier webhook.

    Booking mode

    • Visitors submit name, email, preferred dates, time-of-day, and a message.
    • This is a request, not a confirmed booking — there is no live calendar sync.
    • Submissions land in Leads with source = "booking" so you can confirm on whatever calendar tool you already use.

    Where submissions go

Everything funnels into the existing Leads page: stage filtering and notes work as-is, notifications fire as configured, and Zapier webhooks receive the new lead with the Rep type and full submission payload.
